Hosted PBX vs Cloud PBX vs On-Premise: What’s the Difference?

Shopping for a business phone system quickly lands you in a soup of acronyms — hosted PBX, cloud PBX, on-premise PBX, IP PBX. The good news: the ideas behind them are simple, and once you see the differences clearly, the right choice for your business is usually obvious. Here’s the plain-English version.

First: what a PBX actually is

A PBX (private branch exchange) is simply the “brains” of a business phone system. It’s what lets one main number ring several people, gives everyone an extension, plays your greeting, routes callers to the right department and passes calls between colleagues. Every business phone system has a PBX somewhere — the only real question is where it lives and who looks after it.

On-premise PBX: the box on your wall

The traditional setup: a physical unit in your comms cupboard, wired to your desk phones and your lines. It served businesses well for decades, but it comes with baggage:

  • Up-front cost — you buy and own the hardware, and replace it when it ages.
  • Maintenance is on you — faults, updates and changes usually mean an engineer visit.
  • Tied to the building — if the office loses power or floods, your phones go with it.
  • Legacy lines — many older units depend on ISDN lines, which are being retired in the PSTN/ISDN switch-off.

Hosted PBX and cloud PBX: the same idea, by two names

Here’s the secret that untangles most of the jargon: hosted PBX and cloud PBX mean essentially the same thing. Instead of a box in your office, the PBX runs on secure servers in professional data centres, and your phones connect to it over the internet. “Hosted” emphasises that someone else hosts and maintains it; “cloud” emphasises where it runs. Either way, in practice you get:

  • No hardware to buy or maintain — a predictable monthly cost replaces the capital spend.
  • Changes in minutes — add a user, change the call flow or record a new greeting from a web portal.
  • Built-in resilience — if your office loses power, calls can divert automatically to mobiles.
  • Work-anywhere calling — the same system serves desk phones, laptops and mobile apps, at the office or at home.
  • Modern features as standard — call menus, hunt groups, voicemail-to-email and reporting are included rather than bolted on.

So which should an Irish business choose?

For most small and mid-sized businesses today, the cloud/hosted route wins on every axis that matters: cost, flexibility, resilience and future-proofing — especially with the old copper and ISDN network being switched off. Frequently asked questions

Is there any difference between hosted PBX and cloud PBX?

Practically none — they’re two names for a phone system that runs on remote servers instead of hardware in your office. Providers use the terms interchangeably.

Do I need special phones for a cloud PBX?

You’ll need IP (VoIP) handsets, apps on computers or mobiles, or a mix of both. Many businesses run perfectly well with a few desk phones plus apps for everyone else.

What happens to my PBX when ISDN is switched off?

If your current system depends on ISDN lines, it will need to move to an internet-based service before the switch-off completes. That’s usually the natural moment to move to a cloud system rather than re-equip on site.
